Which Documents Do You Need to Translate
for a New Zealand Citizenship Application?

Anything in your file that is not in English. For most people that means the birth certificate, and often a marriage or name change certificate as well. We look at your whole set at once, because the documents have to agree with each other.

Birth certificate — the long one

DIA wants the full version, the one that names your parents. The short version will not do, and for anyone under sixteen the full certificate is required. We see this go wrong more than anything else on this page, and it stings because people pay to translate the short one before anyone tells them.

Anything that changed your name

Marriage certificate, divorce papers, a deed poll. People leave these out because the change happened years ago and feels settled. To the person reading your file it is the missing link between two names that do not match, so we ask for it up front.

Police certificate from overseas

Needed if you have lived in another country for twelve months or more in the last five years. It usually arrives in that country’s language, and it is the one document we always translate in full rather than in part — the guidance on police records leaves no room to do otherwise.

One thing worth saying at the start. Citizenship is handled by the Department of Internal Affairs. Visas and residence are handled by Immigration New Zealand, and their rules are not identical. Can You Reuse the Translations
You Already Had Done for Your Visa?

Often, yes. DIA states on its own citizenship application that it accepts documents which were translated for Immigration New Zealand. So the birth certificate you paid to translate for your resident visa may still do the job.

Send us the old ones first

Dig out whatever you had translated when you applied for your visa and send us that. We will tell you honestly which of them still work and which do not. Then we only quote for the ones that are genuinely missing.

Yes, this costs us orders. We do it anyway, because you would find out eventually, and nobody enjoys learning they paid twice for the same page.

When an old translation will not carry over

Three situations come up regularly. Your name has changed since then, so the papers no longer agree. The old translation was done by a friend or a relative rather than a translation business. Or you only had part of the document translated, and this time the full thing is wanted.

There is also a simpler one. Some people never had the document translated at all, because their visa category did not ask for it. Citizenship is a different door, and it asks its own questions.

Nothing, and we charge you nothing for them. We list them in your quotation as already covered so you can see at a glance what you are paying for and what you are not.

Keep Your Papers

Does DIA Need Your Original Documents,
or Will a Copy Do?

A copy does. DIA asks for a copy of the original document alongside the English translation. You do not have to post your birth certificate to anyone, and you do not have to post it to us either.

A phone photo is enough

Lay the certificate flat in daylight and fill the frame. Skip the flash — it bounces off the paper and wipes out the stamps. In our experience the corner people cut off is almost always the one carrying the registration number, so check all four before you send.

Send every page

Some certificates carry details on the back, and booklets run to several pages. A translation that stops halfway looks incomplete on the desk, even when the missing page held nothing at all. We would rather see one page too many than one too few.

Add your passport page

We copy your name exactly as your passport spells it. Without that page we are guessing, and our guess is what would create the mismatch later. It costs you ten seconds to send and it has saved our clients weeks.

Where the rules do differ. Not every New Zealand authority is this relaxed. Some want the translation done from the original document rather than a scan, and will not accept a shortened version at all. Who Is Allowed

Who Is Allowed to Translate Documents
for a Citizenship Application?

A professional translation service. Not you, not your husband or wife, not your cousin who speaks the language, and not the adviser helping with your application. Anyone with a stake in the outcome is ruled out.

Why a relative cannot do it

It is nothing to do with their language skill. Someone who wants your application to succeed cannot be the one certifying what your papers say. We meet people every month who learned this after the translating was finished, and a wasted weekend is the kindest version of that story.

What has to appear on the page

Ours carries our letterhead, the translator’s stamp or signature, and their full name in print. Those three things are what turn typed words into something an official can actually rely on, and they are why a home-made version does not pass.

If you send nothing, DIA arranges it

Their own translation service will step in and quote you. That is a perfectly safe route and we will never tell you otherwise — it is simply the dearest one on the table. Most people would rather pick for themselves once they know a choice exists.

Every translation we send you carries a signed Certificate of Accuracy with the translator’s name and credentials on it. If DIA comes back to you with a question about our work, we fix it and reissue at no charge. That is the part we control, and it is the part we stand behind.

Pay For Less

Do You Have to Translate the Whole Document,
or Only the Part That Matters?

For most personal certificates, only the part that matters. This is called a selective translation, and the Citizenship Office accepts it for birth, marriage, divorce, death and name change certificates. It costs you less because there is less to translate, and we use it wherever it is allowed rather than quietly charging you for the full page.

What actually gets left out

The printed headings that appear on every certificate of that type. The legal wording underneath. Blank boxes nobody filled in. What stays is your name, your dates, the places, your parents where they are listed, and the registration details that let an official check the record.

In other words, the reader loses nothing they were going to use. They just do not have to wade through four paragraphs of standard text to reach it.

The honest limit on this

An officer can ask for the complete document even after you have supplied a selective translation. It does not happen often, but it happens, and anyone telling you it never does has not read the rules. If it does, we do the full version and you pay only the difference.

When we will not suggest it at all

Police certificates are the clearest case. The guidance on those asks for a full translation, including certificates that record nothing at all, so that is how we prepare them. Qualifications going to an assessment body are the other one — those bodies want everything, word for word.

What Happens If Your Name Is Spelt
Differently on Two Documents?

DIA has to satisfy itself that both documents belong to the same person. If the spellings differ and nothing explains why, the file stops and somebody writes to you. This is the single most common reason a citizenship application stalls.

When the alphabet is different

Names written in Chinese, Arabic, Hindi, Korean or Russian can be spelled several reasonable ways in English. Your passport office picked one. Whoever translated your birth certificate years ago picked another. Both were right at the time, and now they sit on a desk disagreeing with each other.

How we settle it

We follow your passport, every time, and we show the original spelling in the translation as well so nothing looks hidden. The reader sees both forms side by side and understands in a second that they belong to one person. That habit alone has kept a lot of files moving.

When the name truly changed

Marriage, divorce or a deed poll is a different problem entirely. The spelling did not drift — the name genuinely changed. That needs the certificate proving it, translated and sitting in the same file. Send it with the rest and there is nothing left for anyone to ask.

The Other Route

What Is Different About a
Citizenship by Descent Application?

You are proving a family link rather than years of living here. That shifts the paperwork onto two people instead of one: your own birth certificate, and your New Zealand parent’s proof of citizenship. Both have to line up.

The rule that catches families out

Your New Zealand parent cannot themselves be a citizen by descent. If they were born overseas to a New Zealand parent, the chain stops at them and it cannot pass to you. It is worth checking this before you spend money on translations, and we will flag it if we see it.

Why the long birth certificate matters even more here

Your parents’ names are the whole argument. A short certificate that leaves them out proves you were born, which nobody doubted, but it does not prove whose child you are. Order the full one first and translate that.

Pacific families have an extra option

Where a birth was never registered in the usual way, church and baptismal records can carry weight on a descent claim, and Samoan applications are named specifically in DIA’s own guidance. A baptism recorded within a few months of the birth counts for more than one recorded years later.

What Else Do People Ask About
Citizenship Document Translation?

Do the translations expire while I wait for a decision?

No. A translation describes a document that has not changed, so it stays good however long the wait runs. The only reason to redo one is if the underlying certificate is reissued or your name changes partway through — tell us if that happens and we will update just the affected page.

My document is handwritten and hard to read. Can you still do it?

Usually yes. Older certificates from many countries are handwritten, and the scripts and abbreviations used are familiar to us. Where a word genuinely cannot be made out, we mark it as illegible rather than guess, because a guess in an official document is worse than an honest gap. Send a clear photo and we will tell you before you order.

Do I get paper copies, or just files?

PDFs by email, which is what an online application needs. If you are applying on paper, or you simply want a set in the drawer, say so and we will courier printed copies as well. Ask at the start rather than afterwards, since it is cheaper to print them with the original job.

My children were born here. Do they need anything translated?

A New Zealand born child has a New Zealand certificate, already in English, so there is nothing to translate for them. What can still be needed is your own paperwork, since their certificate names you and those names have to match your documents. Send the family together and we will look at how the set fits.

Can you translate a New Zealand document into another language?

Yes, and people often need this once citizenship comes through — a certificate going to the country they came from, for a pension, a property matter or to keep a dual nationality in order. Tell us the destination country when you ask, because that decides whether anything else has to be attached.

What if DIA asks a question about something you translated?
